Integrations vs. Rebuilds: Picking the Right Fix

When a business tells us "our systems don't talk to each other," the instinct is often to assume the fix is replacing everything with one big platform. Most of the time, that's the wrong call.

Two very different problems

"Our tools don't talk to each other" usually means one of two things:

  1. You have the right tools, but no connection between them. Your CRM, your accounting system, and your scheduling tool all work fine individually, but someone just has to manually copy data between them.
  2. The tools themselves don't fit how you work anymore. You're forcing a process into a tool that wasn't designed for it, and every workaround makes it worse.

The first problem is solved with an integration, a small, focused pipeline that moves data automatically between systems you already trust. The second problem usually needs a tool built specifically for it.

Why integrations are usually the cheaper, faster fix

Replacing a whole system means retraining your team, migrating historical data, and risking downtime during the switch. An integration, by contrast, works quietly in the background, letting your team keep using the tools they already know while the manual copy-paste step disappears.

When a rebuild actually makes sense

If your team is working around a tool's limitations so often that the workarounds have become the process, that's usually the signal that a custom tool, not another integration, is the right investment.
